Overview
You may notice that the Outstanding Balance displayed on the account screen in Weighsoft appears incorrect or misleading. This article explains what the outstanding balance represents and how to manage its visibility for non-cash accounts.
Understanding the Outstanding Balance
The Outstanding Balance shown on an account in Weighsoft is calculated by:
Summing all invoices raised against the account.
Subtracting the total payments recorded in Weighsoft for that account.
Cash Sale Accounts
For cash sale accounts, this calculation is typically accurate because payments are entered directly into Weighsoft.
Non-Cash Accounts
For non-cash accounts, the balance can be misleading. This is because payments are often recorded directly in the external accounts package (e.g., Sage, Financials) and not in Weighsoft. As a result, the outstanding balance may not reflect the true financial position.
Hide Outstanding Balance for Non-Cash Accounts
To prevent confusion, Weighsoft provides an option to hide the Outstanding Balance line for non-cash accounts.
Steps to Enable This Setting:
Click Administration, then click Settings.
Select the Finance tab, then click Credit Control.
Scroll down and enable the Hide Outstanding Balance If Account option.
Scroll back to the top and click the Save button.
