Bulk Updating Accounts in Weighsoft

This article details the steps required to export, edit and import account changes en masse.

Overview

Weighsoft provides a feature to export all account data, allowing bulk updates to be made in Excel before re-importing the changes back into the system. This is useful for making widespread updates efficiently while maintaining data integrity.


Steps to Export and Update Accounts

  1. Navigate to Administration.

  2. Click on Admin Functions.

  3. Scroll down to the Update Accounts En Mass section.

  4. Click on the "Update Accounts En Mass" link to open the filter page

  5. Edit the filters as required to isolate the required accounts for the export

  6. When you have set the required filters, click on the Export button to generate the export file

⚠️Important: Recommendation: Save an unaltered copy of the workbook before making any changes. This serves as a backup in case a rollback is needed.


Editing the Workbook

  • Open the downloaded Excel file.

  • Make the necessary updates to the account data.

  • Each tab in the workbook corresponds to a tab in the account modification screen used for individual accounts.

  • When you have made the required changes, save the file somewhere easy to find (your PC desktop, for example)

⚠️Warning: Do not modify the Account ID or Account No columns. These are critical for linking changes to the correct accounts in the system. Altering these fields will have potential knock-on effects across the entire system

📌Note: If there are any accounts in the export that do not need to be edited you can delete the rows.

If the export field does not contain the field you want to change then it cannot be edited en masse. If you would like to get a field added to the export file for the future you can request it via the Ideas Portal.


Importing the Updated Workbook

  1. Return to the Import/Export screen.

  2. Click Choose Files to select the updated workbook.

  3. Click Import to upload the changes into Weighsoft.
