Overview:

Quote templates are word documents that can be managed internally. These are accessed by:

  1. Hover over Administration then click Lookups

  2. Click Document Templates.

Modifying an existing Template:

If you wish to modify an existing template, click Download against the template in question. You can have multiple templates in use at once; allowing you to have a different template for different functions and modules.

On opening the word document, any information that should be displayed as is can be entered as is; any details that are specific to the quote/account/etc should be set using the available @tags. To obtain the list of @tags that can be used:

  1. Hover over Modules and click Quotes

  2. Click Create New Quote

  3. Click Cancel on the pop up box

  4. Click Q. Letter 0 Emailed

  5. Click View Quote Codes

When setting the @tags for the items on the quote, these should be contained in a table, The first row (or second if you have table headers) should have all columns merged and the tag @QuoteItemsTable be the only content; This tells Weighsoft when creating the quote this table contains row items and to write a row for each item. The next row should contain the tags for required item details.

Note: If you wish to have content that displays in a different table on your quote, you will need to create a table in the same manner as above, but instead of @QuoteItemsTable you would enter @tb, then name of your table without spaces. The name of your table will then need to be added (without spaces) to the Table Name on quote items that you wish to display on that alternative table instead of the primary table.

Once you have made your changes:

  1. Save your word document

  2. Return to Document Templates in Weighsoft.

  3. Click Add New Item

  4. Enter a Name for your new template

  5. Click Choose File and select the new template from the place you saved it to

  6. Click Create

This template will then be available for immediate use.

If you wish to remove a template from use, navigate to Document Templates and click the delete icon.
