Overview
While a fully set up DWT (Digital Waste Tracking) system in Weighsoft is the ideal, there is the understanding that some customer will prefer to continue reporting their waste manually.
Process
The process involves entering the waste details into a preset excel sheet supplied by Defra.
You will need to run a couple of customised export reports from within Weighsoft, the results of which can be copy and pasted directly into the sheet to make it easier for you.
The spreadsheet template file is attached at the bottom of this article
Filling the details in
Most of the tabs on the broadsheet are pre-filled, the only ones that require any manual work are tabs 7 and 8 - these are the ones that require data from Weighsoft.
For this you will need to create a couple of reports in Report>Generator 1, as described below.
Once the report shave been created as per below, they can be found by going to Reports>SQL>Defra Reports
"Tab 7" Report
In Weighsoft click "Reports"
Click on "Generator 1" in the top-right corner
In the Title field name the report "Defra reporting Tab 7" or something similar
In the Group field enter "Defra Reports"
Open the attached "Defra Tab 7" text file at the bottom of this article
Copy and Paste ALL the contents directly into the "Code" field in Weighsoft
Click on Create
Once the screen says "Saved" at the top scroll to the bottom of the report screen
Set the following details in the empty boxes exactly and click "Add"
Parameter = @fromdate
Name = From Date
Type = Date
repeat the above process but with these new details
Parameter = @todate
Name = To Date
Type = Date
It should look like this:
Click Update at the top of the screen
Running the "Tab 7" report
Navigate to Reports>SQL>Defra Reports
Select "Defra Reporting Tab 7"
Click the "Search" link in the top-right corner
Enter the date range against which you wish to run the report
The dates are inclusive, so to run it for the entire month of September you woudl run it for 01/09/26 to 30/09/26
Click the Search button
The report will return the details in a format that will work with the spreadsheet template.
Applying the report to the Defra spreadsheet
Once you have run the report you need to extract the data an apply it to the Defra reporting template.
Having run the report for the relevant dates, click on Export to CSV in the top-right corner.
This will download a spreadsheet copy of the report to the Downloads folder on your PC
Open the download file
Highlight all the details except the header line
Note: the first 2 columns will be empty - this is expected and still need to be highlighted
Copy the details (either right-click>Copy or CTRL-C)
Go to the Defra template
Open Tab 7
Left-Click on the first empty box (cell A9)
Paste the details from the Weighsoft report (either right-click>Paste or CTRL-V)
"Tab 8" Report
In Weighsoft click "Reports"
Click on "Generator 1" in the top-right corner
In the Title field name the report "Defra reporting Tab 8" or something similar
In the Group field enter "Defra Reports"
Open the attached "Defra Tab 8" text file at the bottom of this article
