Preventing Job Creation if an Accounts Credit Limit is exceeded

This article details the settings that control the process of preventing jobs being created against accounts that have exceeded their credit limit

Overview

There are various settings in the system that can prevent job creating in the event of an accounts Credit Limit being exceeded.


Prerequisites

The settings will only affect an account that has a Credit Limit in place.

For details on how to set a Credit Limit please refer to the Set or Amend an Credit Limit knowledge article


System Settings

  1. Hover on Administration

  2. Click on Settings

  3. Click on Finance

  4. Click on Credit Control

Setting

Behaviour

Warning If Committed > Credit Limit

If enabled, the system will display a warning when attempting to create a job while an account is over its credit limit

Stop If Committed > Credit Limit

If enabled, the system will prevent job creation when attempting to create a job while an account is over its credit limit (can be used with the above setting to also display a warning)

Stop If Committed > Credit Limit On Weighbridge

If enabled, the system will prevent job creation on the Weighbridge if an accounts "Committed" value exceeds its credit limit.

Note: the "Committed" value includes the current balance as well the value of any outstanding jobs against the account.

Disable WB Job Via Order Credit Check

If enabled the system will not carry out a credit limit check when using the New Job Via Order option at the Weighbridge

Check Credit Limit Skip OST

If enabled the system will carry out a Credit Limit check when completing a ticket on the screen

Check Credit Limit Portal Requests

If enabled the system will carry out a credit limit check when accepting a job from the portal

Email When Warning Fired

If enabled the system will send an email out every time a credit limit check warning is displayed

Email When Warning Job Created

If enabled the system will send an email out every time a job is created after a credit limit check

Email When Extension Applied

If enabled the system will send an email each time a credit limit extension is applied

Approaching Credit Limit Alert

If the box is filled them the system will send out an email when an account gets within a certain percentage of their credit limit.

Example: If you enter 5 into the box then an email will be sent when an account has 5% of their credit limit remaining

Credit Limit Job Email To

This controls who the above email is sent to. Multiple email addresses need to separated by a ";".

Weighbridge - Prevent Job Creation When Credit Limit Exceeded

If enabled, the system will prevent Weighbridge jobs being created against any account which is over it's Credit Limit

Note: This is used in conjunction with the below option to stop the jobs as well as display the warning (if this is enable the option to bypass the warning is removed)

Weighbridge - Warn When Credit Limit Exceeded

If enabled, the system will display a warning if you attempt to create a Weighbridge job against any account which is over it's Credit Limit.

Note: this warning allows the user to click "Yes" to bypass the warning and create the job anyway

Weighbridge Acc Select Check Credit Limit

if enabled, the above warning will appear when the user first selects the account on the Weighbridge (before any other details are entered)


Account-Level Settings

There are also settings again an account itself that can override the above system-wide settings

  1. Navigate to the account in question

  2. Click Modify in the top-right corner

  3. Click on the Invoice tab

  4. Scroll to the bottom of the screen

Bypass Credit Limit

If this option is enabled then the account will not be subject to any job prevention settings based on the Credit Limit

Credit limit Warn is above Credit Limit

If this is enabled (and the system-wide settings are not) then the system will display a warning if a job is created when this account is over its Credit Limit

Credit limit Stop if above Credit Limit

If this is enabled (and the system-wide settings are not) then the system will prevent jobs being created when this account is over its Credit Limit
