Create and update mail templates

How do I create and update a template for an email run?

In order to access the email templates:

  1. Point to Modules, then click Mail run tracker.

  2. Click Mail Templates

Note: From version 5.528, only users in the "Admin" user group or with the user permission "Manage Mail Templates" will be able to modify mail templates.

From here, you can click the edit icon next to the email template, or if one doesn't exist already, click Create Mail Template.


If creating a new template, the following must be set; if editing, it is recommended that you check these have been filled in:

Setting

Description

Template Name

The name of the template.

Subject

The subject shown on the email.

Invoice Run Type

Required only for Invoice email templates. Defines what type of invoice run the template should be used for.

Template Type

The type of email run that the template is for. Accepts the following types:

  • Invoice

  • Self Bill

  • Duty Of Care

  • Purchasing

  • Transaction

  • Letter

  • Credit

  • Producer Return

Company

This only shows when you are using multicompany. Select the company the template is for. If this is not set, the template will not be found, and the email run will fail.


Finally, the message section is the content of the email itself. This allows for HTML layouts, and below the box are several tags that can be entered as place holders to pull key account or supplier information through to make the content slightly more specific to the recipient.
