Sales Reps

Details on how to setup and use Sales Reps in Weighsoft

Overview

Sales reps can be set up in Weighsoft and applied to an Account, Address or Order.


Creating Sales Reps

  1. Navigate to Administration>Lookups>Sales Reps

  2. Enter the details of the new rep into the fields at the top of the screen

  3. Click on Insert

Top Tip

When creating Sales reps assign each one a number rather than using their initials as the code.

This makes it much easier to swap reps in and out as the number will remain the same but the name can be changed.

For example: rep "01" from the above example has several accounts under their purview, but they then leave the company.

To setup their replacement you would just need to amend the name in Lookups>sales reps against code 01.

That way all the accounts will appear with the new name in place without having to amend the come across multiple accounts, address or orders.


Setting a Sales Rep in place

A Sales rep can be set at various locations in the system.

Account

  • Select the account in question

  • Click on Modify

  • Click in the Sales Rep field and select the required rep for that account

Note: You can click on the Apply to All Addresses link which will apply the same rep against all addresses under that account.

The assigned Sales Rep will be automatically applied to all orders created against the account from this point forward.

Address

  • Select the address in question

  • Click on Modify

  • Click in the Sales Rep field and select the required rep for that address

When determining the Sales rep for new orders the system will check the address first and, if it finds nothing, will defer to the sales rep set against the account.

Orders

Note: the below applies to orders of all types across the system

  • Navigate to the order in question

  • Locate the Sales rep field

  • Select the relevant sales rep

  • Click Save


Sales Rep "Flow"

When it comes to using a Sales Rep the system will check in the below order:

  • Order

  • Address

  • Account

So for example when you create a new skip job the system will check the order for a Sales rep, if it doesn't find one it will then check the Address, and if one is not there it will check the Account.

Once the job is complete the Sales rep will also be applied to the resulting Transaction.

Note: Sales reps are not recorded against Invoices
