Amend the company on an invoice

Steps to amend the company on an invoice.

If an invoice has been raised with the wrong company, or with no company at all, you can correct it. The steps you'll follow depend on whether the invoice has already been posted to your accounts package.


Invoice not yet posted

If the invoice hasn't been posted to your accounts package yet, you can delete it to release the underlying transaction, then re-invoice with the correct company.

Step 1 - Delete the invoice

  1. Open the Invoice Ledger and locate the invoice.

  2. Select the invoice, then click Delete.

  3. Confirm the deletion. This releases the underlying transaction back for invoicing.

Step 2 - Fix the company on the account or outlet

Before re-invoicing, make sure the correct company is set on the relevant account or outlet so the new invoice picks it up automatically.

To fix the account:

  1. Open the relevant account.

  2. On the Home page, check the Company field. If it's empty, the company is missing.

  3. Click Modify, then click the box to the right of Company Code and add the correct company.

  4. Click Save.

To fix the outlet:

  1. Hover over Administration, then click Lookups.

  2. Click Outlets and locate the relevant outlet.

  3. In the C. column, check that a company entry is present. If it's blank, the company is missing.

  4. Click Edit, set the company in the Company box, then click Save.

Step 3 - Re-invoice

Once the correct company is set on the account or outlet, run the invoicing process as normal. The new invoice will pick up the correct company automatically.


Invoice already posted

Once an invoice has been posted to your accounts package, all company and address details are locked and can't be edited directly. To correct the company, you'll need to raise a credit note and re-invoice with the correct details.

Step 1 - Fix the company on the account or outlet

Before raising a credit note, correct the company on the account or outlet using the same steps in the Invoice not yet posted section above. This ensures the new invoice is created with the right company.

Step 2 - Raise a credit note

  1. Open the original invoice in Weighsoft.

  2. Use the Credit from Invoice option.

  3. Where a full reversal is needed, select the Money and Tonnage option to reverse both the financial amount and tonnage. This creates a credit note that reverses the original invoice in your accounts package.

Step 3 - Re-invoice with the correct details

  1. From the credit note or via the original transaction, use the Re-Invoice option.

  2. Confirm the correct company, address, and any other details on the new invoice.

  3. Post the new invoice to your accounts package.
