How trade contract collections are generated and scheduled

Explains how Weighsoft generates trade contract collections, the default generation window, and what to check if collections are missing or not appearing as expected.

Written by Phil Whitehead

Weighsoft generates collections for trade contracts in advance, based on the schedule defined in the contract. Understanding how this works helps diagnose why collections may appear to be missing or not yet visible.

How collections are generated

Trade rounds generate collections approximately 14–15 days ahead of the scheduled date by default. This means that if a contract has a start date in the future, collections for dates beyond the 14–15 day window will not yet appear in the system — they are generated automatically as the date approaches.

Example: If today is 1 October and a contract starts on 1 October, you would expect to see collections up to approximately 15 October. Collections for dates after that will appear progressively as the system generates them.

What to check if collections are missing

  • Check the contract start date — if it is in the future, collections will only appear within the 14–15 day generation window.

  • Check the custom schedule weeks setting on the contract — this controls how many weeks of collections are generated at a time.

  • Check whether the contract or any associated round has a suspension in place for the relevant dates.

  • Check that the vehicle schedule is enabled for the round — collections will not generate if the vehicle schedule is inactive.

  • Check that the contract is set to Active and has no end date that would prevent generation.

Gaps in the schedule

If you see gaps in a collection schedule (for example, collections exist for 1–5 October but then skip to 29 October), check for suspensions or round schedule restrictions that may be preventing generation for those intermediate dates.

If collections are still not generating

If collections are not appearing as expected after checking the above, contact support with the contract number and the specific dates where collections are missing.
