In order to schedule a report, go to the report in question and set the desired search criteria on the report. If you need to be using a moving date period, do not set the date as part of this.
Once the correct search filters are set, click Schedule then click New to load a new report schedule.
It is important that you give the schedule an easily recognisable name - this will make it easier to find if you need to edit or delete a specific schedule at a later date.
Once the schedule has a name, set the recurrence patter to daily, weekly or monthly. Depending on the pattern, the following will need setting:
Setting | Recurrence Pattern | Description |
Every x Days | Daily | How many days to wait before running again. Default is 1, which would be daily, 2 would be every other day etc |
Monday | Weekly | Run on a Monday |
Tuesday | Weekly | Run on a Tuesday |
Wednesday | Weekly | Run on a Wednesday |
Thursday | Weekly | Run on a Thursday |
Friday | Weekly | Run on a Friday |
Saturday | Weekly | Run on a Saturday |
Sunday | Weekly | Run on a Sunday |
Repeat Every x Weeks | Weekly | How often the schedule runs. Set to 1 by default (weekly). Changing the number will increase how many weeks are between runs. |
Day x of the month | Monthly | The date in the month the report runs. Defaults to 1 (1st). |
The x day of the month | Monthly | A specific named day of the month to run. Defaults to the first Monday of the month, but can be set to the Second, Third, Fourth or last day in the month for the day given (Monday - Sunday) |
Once the recurrence pattern is set, the Range of recurrence should be set:
Setting | Description |
Start | The date the schedule needs to run from. Should be set to the date of the first report to be sent |
End | The date the schedule should stop sending reports. Should be the last date to send, or left blank if no end is known. |
Execution time | The time Weighsoft will create and send the report. This is set to midnight by default to avoid slowing down the application during working hours and it is recommended to check with your IT support as to if there is a better time to run report schedules as there could be system maintenance running at midnight that will be prevent the schedules from running. |
Internal | If the report is for internal use. This must be set to ensure any report that doesn't have an account or address selected as part of the report will send. |
Next the Report Timespan needs setting:
Setting | Description |
Type | The date range the report will be run for |
Custom From | The start date for the report if the Type was set to custom |
Custom To | The end date for the report if the Type was set to custom |
Export Format | The type of file that report is sent as, PDF and CSV are the only options |
Finally the export options must be set. Email To is required and Email CC is optional. enter each email address separated by a semi-colon ;
Example [email protected];[email protected]
Once the schedule is configured, click Save.
Note: If the report is being sent for a specific account it will only send if the account is Active and not On Stop.
