Create Multiple jobs from a Material order

This article details how you can create multiple jobs from the same Material order at once

Overview

It may be necessary to create multiple jobs at once from a Material order. This could be a case of creating a job once a day on a schedule, or multiple jobs in a single day.


Multiple jobs in the same day with a set time between loads

This method allows you to create multiple jobs for the same day.

Note: Multiple jobs being created is dependant on the Load size set against the job.

  1. Go to the order

  2. Click on Create Dispatch

  3. Set the Qty for the job

  4. Set the Load Size of each job

  5. Set the time of the first job in the "Time of First Load" field

  6. Set the interval between jobs in the "Time Between Loads" field.

Example:

We are creating jobs to collect 30 tonnes of Sand on 01/12/25.

  • The Load size is set to 10

  • The Time of First load is set to 09:00

  • The Time Between Loads is set to 00:30

The system will create 3 jobs for 01/12/25 at 09:00, 09:30 and 10:00 with a Quantity of 10T each.


Create Recurring jobs from the Material order

Recurring jobs entail setting up the material order to automatically create jobs on a schedule ranging weeks or months into the future rather than creating the jobs at once for the same day.

Enable Recurrences

To make this possible you will first need to enable the "Recurrence" option on the Order item:

  1. Edit the item in question

  2. Enable the "Recurrence" option

  3. Click Update

  4. Click Save on the order

You will then see a "Recurrence" tab on the order

Create the Recurrence Schedule

  1. Go to the Recurrence tab

  2. Tick the box to enable recurrences

  3. Fill in the details as below:

Recurrence Pattern Options

Daily

  • Every x Days: Set the number of days between job creation (default is 1).

Weekly

  • Days to Create: Select one or more days (Monday–Sunday) for job creation.

  • Repeat Every x Weeks: Set the interval between job creation (1 = weekly, 2 = fortnightly, etc.).

  • Auto Create Jobs Out Of Range:

    • Works with Create Day Offset.

    • Ensures jobs are created even if the first job falls before the offset.

    • Important: Not ticking this is a common reason for missing jobs at the start of a recurrence schedule.

Monthly

  • Creation Date: Choose either:

    • Day x of the month (e.g., 1st of each month).

    • The x day of the month (e.g., First Sunday).

  • Repeat Every x Months: Set the frequency (1 = monthly, 2 = bi-monthly, etc.).

Recurrence Pattern Options

  1. Start:

    • Date of the first job to be created.

    • Must align with a valid job creation day based on the schedule.

  2. End:

    • Date of the last job to be created.

    • Leave blank if the end date is not yet confirmed.

  3. Creation Time:

    • The time when Weighsoft will create the job (default is midnight).

    • Check with IT to avoid conflicts with system maintenance.

  4. Creation Day Offset (Weekly only):

    • Number of days in advance the job is created (0 = same day, 6 = six days ahead).
