Overview
To send emails from Weighsoft, you must configure SMTP settings for each email address you intend to use. This guide outlines the required information, setup steps for system-wide and finance-specific emails, and configuration for multi-company environments.
Required Information
Obtain the following details from the party managing your email server(s) for each email address:
SMTP Server Name
SMTP Port Number
SMTP Username
SMTP Password
Whether TLS is required
Whether SSL is required
Ensure Send As permissions are enabled for the email address
System-Wide Email Configuration
To configure the main system email:
Go to Administration > Settings > Email
Under the Setup section, enter the following:
SMTP Server: Format as
SMTP Servername:SMTP Port Number(e.g.,mail.example.com:25)SMTP Username
SMTP Password
Enable SSL: Tick if required
Enable TLS: Tick if required
Set the following:
From Address: The email address to send from
From Display Name: The name that appears on received emails (e.g., John Smith)
Click Save
Note: If you do not wish to use a separate "No Reply" address, re-enter the From Address in the relevant field.
Finance Email Configuration
To configure invoice and purchase order email addresses:
Go to Administration > Settings > Finance
Click Invoicing at the top
Under the Emails subsection:
Enter the Invoice Email From Address
Ensure Invoice Email From User Address is switched off
Enter PO Email From Address
Click Save
Multi-Company Email Configuration
Even if using different email settings per company, the main system email settings must still be configured.
To configure per-company email settings:
Go to Administration > Lookups > Companies
Click Edit next to the company you wish to update
Under the Emails tab:
Tick Enable to activate custom email settings
Enter the same fields as in the main email setup:
SMTP Server (with port)
SMTP Username
SMTP Password
Enable SSL/TLS as required
From Address
From Display Name
Click Update to save changes before moving to the next company
Note: Repeat this process for each company that should use different email settings.
