System-Wide Uploaded Documents

This article outlines the details of the System Uploaded Documents screen in Lookups

Overview

The System Uploaded Documents screen is accessed via Administration>Lookups and allows you to upload a document once which can then be attached to multiple other sources and emails automatically.


Accessing the screen

The screen is accessed by going to Administration>Lookups>System Uploaded Documents.

If you do not have access to the Administration or Lookups areas of the system you will need to talk to your system administrator


Process and Screen options

Note: Only the following file types can be used for uploading documents: .pdf, .doc, .docx, .xls, .xlsx, .txt, .csv, .tsv, .msg

  • Name - This will populate with the file name once you have selected a file to upload. To select a file click on the blue icon on the far-right.

  • Virtual Path - To be used if you are storing the document in a virtual directory structure within the system.

  • Notes - Any description entered here is stored in the background for reporting and audit purposes only.

  • Target - This is where the document will be attached

    • Address - If selected then the document will be attached to all Addresses/Accounts in Weighsoft (under the Documents tab) and all Addresses/Accounts on the Portal if the associated account is web-enabled before uploading.

    • Email Job Creation - If selected then the document will be attached to all "Job Creation" emails that are sent out from the Administration>Alerts screen (this screen is further detailed in the "automatic alerts" article)

    • Quote Template - If selected then the document will be attached to all outgoing quote emails

Once the file has been uploaded you have other options that can be enabled.

  • F.P. ("From Portal"): This will be ticked if the document has been pulled into Weighsoft from the Web Portal

  • S.T.P. ("Send To Portal"): If enabled this document will be sent to the Web Portal

  • S.T.SW ("Send To SmartWaste"): If enabled this document will be sent to SmartWaste.
