Creating a New Web Portal User in Weighsoft

This article outlines the steps required to create a new portal user in Weighsoft.

Note: This process assumes the account the user will be linked to already exists on the portal. If not, please refer to the "Add an Account to the Web Portal" article before proceeding.

Steps to Create a New Portal User

  1. In Weighsoft, hover over Administration and click on Lookups.

  2. Click on Web Portal Users.

  3. Select Create a New User.

User Details Configuration

Fill in the following fields:

  • Email:

    • This will be the user's portal username.

    • Must be a valid email address, as it will be used for password resets.

  • Password:

    • Minimum of 6 characters.

    • This will remain until the user changes it.

  • Enabled:

    • Must be checked for the user to be able to log in.

  • May Upload Documents:

    • Grants permission to upload documents to linked accounts/addresses/suppliers.

  • May View Invoices:

    • Allows the user to view invoices for linked entities.

  • Restrict Dates:

    • Use From Date and To Date to set a time-limited access period.

    • Leave blank for permanent access.

  • Type:

    • Defines the scope of access:

      • Standard: Access to one or more accounts and all linked addresses.

      • Site: Access to specific addresses only.

      • Supplier: Access to orders and tickets linked to a supplier.

Finalizing User Creation

  1. Click Create to generate the user and initiate portal sync.

  2. After creation, scroll down to add links to accounts, addresses, or suppliers (based on the selected Type).

    • Click in the blank box, select the item, and click Add.

    • Added items will appear at the bottom of the screen.

  3. Once all links are added, click the blue Update button to finalize.

Note: An "Address" type user cannot be linked to address across multiple accounts.

For example: if you link a user to an address under account ABC1, you cannot then link that user to an address under account ABC2
