Scheduling Jobs to Vehicles

This article details how to schedule/assign jobs to vehicles

Overview

Scheduling or assigning jobs to vehicles is handled via the Operations screens. The process is the same for Skips, Materials, RMC and Haz jobs.

Note: These process do not apply to Trade jobs - those are handled separately via the Trade Rounds and templates


Process

Once a job has been created it it will appear on the Operations screens for that module. The process of assign it differs slightly depending on the Operations screen that is used.

In the below examples we will use a Skip Job, but the process is the same for all of them.


De-Assign Types

If a job needs to be de-assigned you will be prompted to select a "De-Assign Reason".

This can be created and managed within the system by going to Administration>Lookups>De-Assign Types.

Any items added to the screen will appear as an option when de-assigning a job


Module>Operations Screen

In the basic Operations screen any unassigned jobs will appear in the left-hand pane.

This screen operates on the premise of assign the jobs on a vehicle-by-vehicle bases (i.e: select a vehicle, assign all jobs, select next vehicle)

To Assign a Job:

  1. Click on the "Vehicle" box in the right-hand pane of the screen

  2. In the pop-up box use the filters to locate the vehicle against the required date.

  3. Select the vehicle required

    1. The screen will then close and that vehicle will be set on the right-side of the Operations screen

  4. Drag the required jobs from the left-hand pane to the right-hand pane to assign them to the selected vehicle.

To De-Assign or re-assign a Job

To de-assign a job you can go to the vehicle it is assigned to in the right-hand pane and right-click on the job and select the relevant option

  • De-Assign>De-Assign: Will de-assign the job in question

  • De-Assign>De-Assign & Charge: Will de-assign the job and open a window to create a charge

  • De-Assign>De-Assign All: Will de-assign all jobs currently against the vehicle

  • Assign>Assign to Other Vehicle: Allows you to assign the job to a different vehicle

  • Assign>Assign all to Other Vehicle: Allows you to assign all jobs to another vehicle.

Important: When a job is de-assigned it will go back to the left-hand pane and will be high-lighted in red to show it's been de-assigned


Skips>Operations Mixed View Screen

The Mixed View screen is accessible via the Skips Module, but it allows you to view and assign Skip, Material and Hazardous jobs all from the same screen.

In the "General" section in the top-left you can select which job types are visible on the screen.

Jobs for the selected modules are listed in the lower section of the screen. When a job is assigned the vehicle registration will appear in the "Vehicle" column (which, by default, is the first column on the screen).

To Assign a job:

  1. Right-Click on the job

  2. Select Assign to Vehicle

  3. Select Vehicle

To De-Assign a Job:

  1. Right-Click on the job

  2. Select De-Assign

  3. Select De-Assign reason

  4. Click Save


Module>Operations Multi Vehicle Screen

Each separate module has its own "Multi-Vehicle" screen and only jobs for that module will appear on the screen.

The screen is split into 2 sections:

  • The left-hand side of the screen lists unassigned jobs for the date range selected in the field above it

  • The right-hand side of the screen shows all the available vehicles for the date selected in the top right.

In the below example the left-side is showing all jobs between 02/03/26 and 06/03/26; while the right-hand side is showing all vehicles available for 03/03/26.

To Assign a Job

  1. Drag the job from the left-hand pane to the vehicle to which you need to assign it

To De-Assign a Job

  1. Right-Click on the job

  2. Hover on De-Assign

    1. Select De-Assign item to remove the job

    2. Select De-Assign & Charge to remove the job and generate a charge

To Move a Job to Another Vehicle

  1. Left-Click on the vehicle to which the job need to be moved (the vehicle box will change colour once selected.

  2. Right-Click on the job to be moved

  3. Select

Amending details shown in the job "boxes" in the Multi-Vehicle screen

By default the unassigned jobs will show the following details across 3 lines:

  • Line 1

    • Ticket No, Job Type, Product Code, Job Date

  • Line 2

    • Job Address

  • Line 3

    • Job Short Notes (if the are no short notes for the job then the line is removed rather than leaving a blank space)

Note: The assigned jobs will show the same details but without the job date

These can be changed by either clicking the "Setup Fields" button for each section or by clicking the Options button (cog icon) on the left of the screen and using the Setup Fields buttons in there.

Things to consider before adding or removing items:

  • Once at item has been added it cannot be edited, you will need to remove and re-add it if you wish to change the size for example.

  • Items in the lines cannot be moved - this means that items have to be added in order from left to right.

  • If a single item is removed from a line the other item in that line will move to the left to fill the gap.

To add an item

We will assume you are adding an item to a new line in the box.

  1. Click on Add Row at the bottom to add a blank row

  2. Click on the blank row you added to select it as the location for the new item

  3. Select the item you wish to add from the drop-down on the right

  4. Set the percentage width the item will use of the row

  5. Click Add item

To Remove an item

  • A single item can be removed by clicking the Delete button on the image. This will remove that item from the line and all other items will move to the left to fill the gap.

  • An entire line can be removed by selecting the line and clicking Delete Row
